Introduction

The Fancy America System is owned and operated by Rainbow Crown Productions, founded by Joshua Gray-Heim and Alan Domingo. We produce pageantry and entertainment programming, and we serve as an official preliminary to Miss Gay America, Miss Gay America Femme, and Gay America Esquire.

This policy explains what information we collect through our website, our registration process, and our events, why we collect it, how we use it, and what choices you have. Throughout this page, we, us, and Fancy America refer to Rainbow Crown Productions and the Fancy America System.

We have written it to be read and understood, not skimmed past. If anything here is unclear, ask us.

Information We Collect

What we collect depends on how you interact with us. Someone browsing the site shares very little. Someone competing, sponsoring, or selling with us shares more, because we need it to do the work.

Contestant Registration Information

When you enter a Fancy America competition, we collect what is needed to register you, verify eligibility, and produce the show. This typically includes your performance name, your legal name where official paperwork requires it, mailing address, phone number, email address, date of birth or age verification, emergency contact information, and any entry forms or agreements you sign.

It also includes the materials you provide for production and promotion, such as headshots, biographical details, competition history, music, talent and staging requirements, and category selections. Materials submitted for promotion are intended for public use, so please send only what you are comfortable having seen.

Sponsor Information

Sponsors provide business or individual names, a contact person, phone and email, billing information, logos and artwork, website or social links, and the sponsorship level selected. Sponsor names and logos are generally displayed publicly as part of the sponsorship itself. If you prefer to sponsor without public recognition, tell us and we will honor that.

Vendor Information

Vendors provide business name, contact information, a description of goods or services, booth or space requirements, payment details for their fees, and any licensing, tax identification, or insurance documentation required by a venue or by law.

Advertising Purchases

If you purchase advertising in a program book, on our website, or through our digital channels, we collect your contact and billing information along with the artwork, copy, images, and links you want published. Advertising content is published as submitted and approved, and it is public by design.

Payment Processing

Payments may be processed securely through Square and other trusted third-party payment providers. Fancy America does not store your full card number, bank account number, or security codes. Those details go directly to the payment processor and are handled under their security standards.

What we do receive and keep is a transaction record: the name on the payment, the amount, the date, what was purchased, and a partial card identifier such as the last four digits. We use those records for accounting, refunds, and required financial reporting.

Email Communications

We collect email addresses when you register, purchase, sign up for updates, or contact us. We use email to send registration and payment confirmations, event details and schedule changes, handbook and deadline reminders, and occasional news about the system.

Promotional email includes an unsubscribe link and you can opt out at any time. We will still send the operational messages tied to something you registered for or purchased, because those are part of the service.

Cookies

Our website uses cookies and similar technologies. Some are essential and keep the site working, such as maintaining your session or remembering form entries. Others support performance, caching, and analytics. You can control or block cookies through your browser settings, though some parts of the site may not work as intended if you do.

Analytics

We use analytics tools to understand how the site is used in aggregate, for example which pages are visited most, how visitors arrive, and where people run into trouble. We use this to improve the site. We do not use analytics to identify individual visitors or to build profiles about who you are.

Website Usage Data

Like most websites, ours and our hosting provider automatically record technical information when you visit. This can include IP address, browser and device type, operating system, referring page, pages viewed, and time stamps. This information supports site security, troubleshooting, and performance.

Third-Party Services

We rely on established third-party services to run our website and our events. These may include web hosting, email delivery, registration and ticketing platforms, payment processing, cloud file storage, social media platforms, and photo or video services.

When you use one of those services, that company’s own privacy policy and terms apply to the information you give them. We choose providers we consider reputable, but we do not control how they operate. We encourage you to review their policies for anything that matters to you.

Information Sharing

We do not sell personal information, and we do not trade or rent contact lists. We share information only in these situations:

• Service providers. Companies that help us operate, such as payment processors, hosting, and email delivery, receive only what they need to perform their function.
• The national system. As an official preliminary, we share the contestant information required to certify a titleholder and prepare them for national competition. That information is then handled under the national system’s own rules.
• Venues and production partners. When a venue, host hotel, or production partner requires participant details for access, credentialing, or safety, we provide what is necessary and nothing more.
• Public promotion you authorized. Headshots, performance names, biographies, sponsor logos, and advertising you submit for publication are shared publicly as intended.
• Legal requirements. We may disclose information when required by law, subpoena, or valid legal process, or when we believe in good faith that disclosure is necessary to protect the safety or rights of a person, our organization, or the public.

Data Retention

We keep information for as long as it is needed for the purpose it was collected. Registration and competition records are retained as part of the historical record of the system, including titleholder history and results, which is a normal and expected part of pageantry. Financial and tax records are kept for the periods required by law. Marketing contact information is kept until you unsubscribe or ask us to remove it.

When information is no longer needed, we take reasonable steps to delete it or remove the details that identify you.

Data Security

We use reasonable administrative and technical measures to protect the information entrusted to us. That includes limiting access to the people who need it, using secure and reputable platforms for payments and registration, keeping our website software current, and using encrypted connections where appropriate.

No website, database, or transmission method is completely secure, and we cannot guarantee that information will never be accessed improperly. If we become aware of a security incident affecting personal information, we will respond promptly and provide notification as required by applicable law.

Your Privacy Rights

You can contact us at any time to:

• Ask what personal information we hold about you
• Correct information that is inaccurate or out of date
• Request deletion of information we are not required to keep
• Unsubscribe from promotional email
• Ask us to remove a photo, biography, or other content about you from our website or social channels

We respond to requests within a reasonable time. Some information cannot be removed, such as records we are legally required to retain, official competition results, or content already published in printed materials. Depending on where you live, you may have additional rights under state or national privacy laws, and we will honor those rights when they apply.

Children’s Privacy

Our website, competitions, and services are intended for adults. Contestant eligibility requirements are set out in the official handbook and rules. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to remove it.

Policy Updates

We may update this policy as our services, our technology, or the law changes. When we do, we will revise the date at the top of this page. If a change meaningfully affects how we handle your information, we will make a reasonable effort to notify participants directly. Continuing to use our website or services after an update means the current policy applies.
